Terms & Conditions

These are the standard terms and conditions for bookings taken by Jay One Events Ltd on behalf of the UK Mining Conference in Cornwall event.

Your information

We adhere to our Privacy Policy and guard your privacy seriously. Information will only be shared with third parties who you have agreed to (for example the host of a site visit).

Registration details of delegates’ names and their organisations will be added to our official event networking tools and materials, which enables delegates to view the list of participants at an event. If you do not want your registration details to be included in the relevant networking materials, please email the event contact enquiries@jayoneevents.co.uk at least 10 working days before the start of the event.

Event details

All ‘bookings’ are regarded as applications until confirmed by the organiser. An order acknowledgment will precede an invoice. Any queries in orders must be notified immediately. We work closely with venues and suppliers to ensure that we cater for the specific requirements of all attendees. It is your responsibility to inform us of any special access requirements or dietary requirements at the time of registration, and in any event no later than 10 working days in advance of the event. Any dietary requests made less than 10 business days before an event may not be available.

Although event programmes are correct at the time of publication, we may exchange the format, content, venue, location, speakers, hosts, moderators and/or timing of an event. Jay One Events Ltd shall use its reasonable endeavours to notify all participants of any such changes prior to an event.

Exhibition

Exhibition table size and positioning will be allocated by the organiser and facilities may vary. Pop-up banners and displays are allowed up to a maximum width of 2 metres; exhibitors are responsible for the setup of their stand during the specified time.

Pricing

All prices quoted are exclusive of VAT, which will be charged at the current rate at the time of invoice. Payment terms will be stated on your invoice, usually 30-day terms. You may be asked to pay immediately on invoice for bookings made less than 30 days before the start of the event. Our preferred method of payment will be stated on the invoice. Any additional expenses resulting from changes made by the client will be invoiced separately after the event, with payment due upon receipt of invoice.

Force majeure

Jay One Events Ltd shall not be liable for any delay or failure to provide services promised if this is as a result of circumstances outside its reasonable control, including but not limited to acts of God strikes, lockouts, accidents, war, fire, breakdown of plant or machinery.

Amendments to bookings

All events and activities will be clearly described on the order acknowledgement. However, when dealing with third parties, some aspects of your order may change (such as running order of an event, exhibition area or tabletop size). We attempt to deliver on promises, but there will be no refunds or discounts for amendments.

Cancellation

Should an event be cancelled by the organiser, clients will be refunded unless expenses on their
behalf have occurred. Jay One Ltd reserves the right to cancel a client’s booking if
information received shows that the purpose of attending an event is to be destructive.

Should the client cancel:

Up to 45 days prior to event No charge
Up to 30 days prior to event 50% charge
Up to 7 days prior to event 100% charge
Replacements will be accepted where possible.
Cancellations must be received in writing.

Liability

On some events (such as a site visit), activities may be considered hazardous, even though delegates are continuously supervised. Neither Jay One Events Ltd nor third party employees will be liable for damage, loss, delay or expenses caused. Please note that some third-party hosts may request individuals to sign a liability waiver on the day of the event.

Photography

By attending the event you acknowledge that photographs and filming may take place at the event. Jay One Events Ltd reserves the right to use event participant images and videos recorded at the event with your photograph and/or likeness in future marketing materials, including social media channels, websites, and print material, without obtaining any further approval from you or making any payment to you. If you do not wish your photograph to be taken at an event, then please notify the photographer during the event and we will use reasonable endeavours to comply with your request.

Amendments to T&C

We may make amendments to these Terms from time to time. Any such amendments shall be posted on the event website. Amendments will be effective immediately and you will be deemed to have accepted them if you attend the event. If you do not wish to accept them, you must cancel your attendance in accordance with the terms of booking.
